VP Finance AI, Inc. ("VP Finance," "we," "us," or "our") operates the website vpfinance.ai and related services (the "Service"). This Privacy Policy describes how we collect, use, and protect your information.

1. Information We Collect

Account Information. When you create an account, we collect your name, email address, and password (hashed). If you sign in with Google, we receive your name, email, and profile picture from Google.

QuickBooks Data. When you connect your QuickBooks Online account, we access your chart of accounts, vendor list, bills, invoices, purchase orders, and payment records via the Intuit API. We request only the permissions necessary to provide the Service.

Gmail Data. When you connect your Gmail account, we access emails in your designated AP inbox to detect and extract invoice information. We use read-only access and do not send emails on your behalf.

Usage Data. We collect standard log data including IP address, browser type, pages visited, and timestamps to maintain and improve the Service.

2. How We Use Your Information

To provide, maintain, and improve the Service
To extract invoice data from emails and documents
To match invoices with your QuickBooks records
To route invoices for your approval
To sync approved transactions with QuickBooks
To send you notifications about pending approvals
To provide customer support

3. Data Storage and Security

Your data is encrypted at rest using AES-256 and in transit using TLS 1.3. We store data in secure, access-controlled environments. OAuth tokens for QuickBooks and Gmail are encrypted and stored separately from your account data.

We do not store your QuickBooks or Gmail passwords. We use standard OAuth 2.0 authorization flows provided by Intuit and Google.

4. Data Sharing

We do not sell, rent, or share your personal information or financial data with third parties, except:

With your explicit consent
To comply with legal obligations or valid legal process
With service providers who assist in operating the Service, bound by confidentiality agreements
In connection with a merger, acquisition, or sale of assets (with notice to you)

5. Data Retention and Deletion

We retain your data for as long as your account is active. You may request deletion of your account and all associated data at any time by contacting us at privacy@vpfinance.ai. Upon deletion, we remove your data from our active systems within 30 days and from backups within 90 days.

You have the right to:

Access the personal data we hold about you
Request correction of inaccurate data
Request deletion of your data
Export your data in a machine-readable format
Revoke access to connected services (QuickBooks, Gmail) at any time

7. Third-Party Services

The Service integrates with Intuit QuickBooks and Google Gmail. Your use of those services is governed by their respective privacy policies. We encourage you to review the Intuit Privacy Statement and Google Privacy Policy.

8. Cookies

We use essential cookies to maintain your session and authentication state. We do not use third-party tracking or advertising cookies.

9. Children's Privacy

The Service is not directed to individuals under 18. We do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the "Last updated" date.
